70%                 Imaging System Administration

1.      Application Administration, Performance, and Support

·         Maintain, support, and administer On Base Software Suite of applications in Thick Client, Core, and Web platforms.

·         Application Enabler/Workflow/E-Forms – maintain and administer appropriate technical and line of business specifications to support end user satisfaction and organizational efficiency.

·         Records Management – maintain and administer appropriate technical and line of business specifications to support efficiency of this process and ensure that compliance requirements are meet in a timely manner to minimize organizational risk governance.

·         Assist with performing research, discovery, and design of line of business processes for module integrations currently in place and future ones to ensure consistent implementation for ease of use and administration.

2.      System Administration, Performance, and Support

·         Configure and administer On Base Suite of applications in Thick Client, Core, and Web Platforms to ensure system availability and high reliability for all data stored.

·         System Administration/Security (Internal of On Base) – Work with immediate team members, other IS Teams, departments, and vendors as needed/required.

o        Configure and administer third-party solutions for imaging content management.

o        Interact and communicate with system experts and vendors on hardware/software issues including upgrades, security patches, disaster recovery procedures, and system maintenance.

o        Ensure Platter Management functions are being managed and maintained on a regular schedule for optimum storage and retrieval. Periodically validate historical storage copies.

o        Peripheral Devices - Assist in installation, configuration, testing, maintaining, monitoring, and trouble-shooting associated peripherals both at the hardware and software levels.

·         Database/Network/Data Storage – Work with Database and Network Administrators to support, recommend, and report variances of the system as needed/required.

·         End User Support/Trouble Shooting/Documentation/Training –

o        Provide back up to team members to receive, assign, prioritize, and resolve, Help Desk support calls via telephone or tickets –communicating and/or escalating issues when needed/required to appropriate staff/vendor.

o        Research and evaluate software updates, drivers, knowledge bases, frequently asked questions, and other resources internally and on the Internet to aid in problem resolution.

o        Assist in communication of issue status and support activities to others in the organization as needed/required.

o        Maintain detailed and current end user, system, and application administration documentation.

o        Provide assistance in training end users to support functionality and enhance user experience.

·         Test and Production Systems– Work with Database and Network Administrators as needed/required.

o        Assist in managing and maintaining a test system that mirrors production allowing for full feature and functionality testing too occur for existing solutions, future integrations, and issue resolution.

o        Assist in managing and maintaining the production system to ensure high availability and reliability for all users.

o        Evaluate and perform vendor upgrades (Hyland Software) on the Test/Production Systems in accordance with established upgrade procedures; communicate with team members to assess impact and address issues prior to upgrading.

3.      Operational Support

·         Provide support to team members as needed/required to maintain operational service level agreements with stakeholders. This includes but is not limited to: scanning, all Import functions, daily process maintenance, indexing, QA etc.

4.      Expand and Maintain Compliance

·         Assist with the planning of Records Management, imaging practices, and document retention strategies.

·         Assist with maintaining collaboration with stakeholders to review solutions to ensure compliance with industry, governmental, and organizational requirements are being met on an annual basis.

5.      Metrics/Trend Analysis

·         Monitor and analyze usage patterns and accurately report results describing the use of deployed imaging technologies and the impact to the organization; discerning notable patterns that lead to actionable improvements in the functionality.

·         Complete and submit monthly metrics as assigned.

6.      Vendor Relationship

·         Maintain regular communications with technology providers to ascertain strategic and product feature directions, to report and seek resolution of product defects, and to submit and monitor development of requested feature enhancements.

·         Monitor the performance of third-party service providers to assure quality and service levels are maintained.  Immediately report any situations where service and support levels are not within standards.

·         Work closely with Hyland Software to effectively address business requirements and resolve outstanding issues.

·         Assess and respond as appropriate to feedback reported within STCU’s technical assistance support solution in a timely manner.

7.      Compliance, Security, and Disaster Recovery

·         Maintain knowledge in and adhere to compliance standards for Information Technology and security.

·         Adhere to security procedures and fraud controls to protect members, staff, and assets.

·         Communicate the security plan to protect and preserve critical information and communication systems.

·         Recommend changes or improvements as needed.

·         Recommend changes to the disaster recovery plan for the department and perform testing in accordance with DRP testing plan.

8.      Policies/Procedures/Processes

·         Adhere to policies, procedures and established processes for the department.

·         Recommend policy / procedural changes and process improvements to assist in the achievement of the strategic goals of the organization.

9.      Miscellaneous

·         Understand STCU and IT department’s strategic plan and be able to tie job responsibilities and projects to these plans.

·         Provide backup support for other IS positions and systems when required and/or assigned

·         Perform additional duties as required by the Image Solutions Manager or other designee for efficient operation of the credit union. This includes the possibility of being assigned temporarily to other locations.

15%                 Projects

1.      Project Team Member

·         Manage and prioritize assigned projects and technology/operations consulting.

·         Update the Image Solutions team on project status and departmental task assignments if representing the Information Systems department. 

·         Provide area of expertise and consultation to project teams for design, support, security, usability, scalability in the advancement of STCU’s technologies which supports the business requirement.

2.      Integration Standards Development

·         Design, define, and enforce integration design standards in conformance with usability best practices.

10%                 Individual Development and Team Participation

1.      Career Advancement

·         Dedicate time for self development and increase job skills and knowledge to understand current technologies and to provide acceptable levels of system and application support.  This may include professional certifications. 

·         Attain Certification of Job Mastery through individual training plan.

·         Participate in and successfully complete professional training and credit union required courses.

2.      Team Participation

·         Provide support to team members to continually increase competency, and promote team depth and unity; resulting in a positive work environment and high performance outcomes.

·         Attend meetings/seminars as required by manager or other designee.

5%                   Technology Trends

1.      Best Practices

·         Research and recommend best practices improving department and credit union’s operations, member service, and efficiencies.

·         Assist in identifying and implementing new functionality in On Base that can be applied to new and existing On Base solutions.

2.        Industry Trends

·         Identify and recommend technological strategies that meet the organizational goals and objectives.

·         Initiate Request for Proposal, create product and services selections criteria, and perform product evaluations. Make recommendation based on evaluation results.

3.      Technology Trends

·         Identify and learn about the appropriate software and hardware used and supported by the credit union in order to better assist employees and members.

JOB QUALIFICATIONS:

1.       Four-year college degree in information technology or a related field with minimum of three years relevant work experience.  Equivalent work experience may substitute for degree. 

2.       High degree of knowledge and experience deploying and supporting application software and peripheral devices to include medium to complex trouble-shooting, ability to read and comprehend technical manuals, and maintain procedural documentation.

3.       Extensive experience with discovery process analysis and best practice implementations.

4.       Intermediate knowledge of financial institutions and working knowledge or previous experience with Hyland Software On Base suite strongly preferred.

5.       Industry certifications in CDIA, ECMP, OCSA, OCASA, OCWA, or MCSE indicating a degree of appropriate foundational knowledge a strong plus.

6.       Strong knowledge of Records Management and Document Retention Rules highly preferred.

7.       Above average communication and interpersonal skills; demonstrated ability to work closely in a team-oriented environment where time management and priorities can shift at a moments notice.

8.       Ability to accomplish large projects with little supervision, both in a team atmosphere and independently. Exceptional project management skills and the ability to manage multiple projects/tasks concurrently.

9.       Ability to work extended hours and weekends and be on-call.
