60% Administrative Support Performance
1. Assist with Incoming and Outgoing Mail/Package Deliveries (Receive, Sort and Distribute)
· Prepare departmental e-mail communications (internal correspondence)
· Separate mail that is returned due to invalid addresses
· Enter departmental information into applicable software programs for tracking purposes (spreadsheets, databases, etc)
· Manage address forward notification reports; receiving worksheets, printing, modifying and returning to IS for follow-up letters for correction of the address
· Apply fee to members accounts for return mail according to CU procedures
· Contact members by phone and letter to resolve their invalid mailing address. Perform skip tracing to locate members.
2. Compliance, Security and Disaster Recovery
· Maintain knowledge in and adhere to compliance standards for the department.
· Adhere to security procedures and fraud controls to protect members, staff, and assets.
· Recommend changes to the disaster recovery plan for the department.
3. Policies/Procedures/Process Improvements
. Adhere to policies, procedures and established processes for the department.
. Recommend policy / procedural changes and process improvements to assist in the achievement of the strategic goals of the organization.
4. Miscellaneous
· Perform additional duties as required by the Support Services Manager or other designee for efficient operation of the department and/or credit union. This includes the possibility of being assigned temporarily to other locations.
20% Purchasing Performance
1. Supplies, Forms, and Office Equipment
· Assist and coordinate, purchase, maintain and deliver standard forms, supplies and equipment to ensure availability to staff while minimizing overstocking costs.
· Work with Support Services Manager, Purchasing Administrator and the Accounting Department to track yearly supply budgets and expenditures to ensure budget goals are achieved.
· Provide backup coverage for Purchasing Administrator as needed and directed by the Support Services Manager.
10% Courier Performance
1. Courier Performance
· Transport inter-office mail and credit union related sensitive materials between branches and delivers checks and interoffice materials to Wescorp.
· Pick up and delivers credit union-related products and supplies at various destinations.
· Maintain punctuality, accuracy, safety, and professionalism in dealings with the credit union and outside agencies.

JOB QUALIFICATIONS:
1. High school graduate and at least four years purchasing and inventory control experience.
2. Previous experience with contacting vendors, obtaining price quotes and negotiating quantity purchases.
3. Excellent oral and written communication skills.
4. Excellent organization skills.
5. Proficient in basic mathematics.
6. Ability to work with members and staff tactfully and professionally.
7. Ability to work with minimal supervision, be self-directed and make independent decisions.
8. A passion for people and a commitment to service.
9. Previous experience in keyboarding/PC and 10-key calculator. Windows XP experience with basic knowledge of MS Word and Excel required.
10. Available to work flexible hours and overtime as needed.
